The Hidden Villain Behind Headshots: Rework
Each of these stories started with a common thread—Office Managers stuck doing work twice because the first process wasn’t built to last. Here’s how we turned that around.
Rework Isn't Just More Work. It's Invisible Loss.
Without a well-defined system, company headshots become an ordeal, not an opportunity to lead—scheduling turns chaotic, proofing gets delayed, or delivery stumbles. You don't just lose time; you lose trust, team energy, and the worst part is, the damage often stays invisible until it's too late.
Here’s how I’ve helped teams like yours eliminate rework—one system, one solution, one success story at a time.
How One Project Sparked a Seamless System
The system I use today didn’t come from a business plan. It came from a real client, in a real moment, who needed more than just headshots.
Problem:
Parisa, a design director in the middle of a full company rebrand, was juggling a product launch, agency work, a new website, and a major off-site.
She turned to me, and I listened—not just to what she needed, but how the headshots had to fit into her workflow.
At the time, I was relying on a mix of tools built for photographers, not clients. Parisa needed more than delivery. She needed a smoother way to get everything done.
Challenge:
She didn’t need me to “take pictures.” She needed a system that respected her time, removed confusion, and left her team looking sharp.
I used a mix of internal scheduling and third-party tools to make it work. It wasn’t elegant, but it got the job done. In the process, I saw what so many others were quietly struggling with.
Most of my clients are office managers, marketing leads, or communications pros. Brilliant at what they do—but headshot logistics? That’s where I come in.
Solution:
That project sparked a bigger idea. I built an in-house system for scheduling, proofing, and delivery—clean, intuitive, and designed to solve the real-world problems my clients face.
The result is a seamless experience that fits your workflow and removes the hidden workload from scheduling, proofing, and delivery.
In the case studies below, you'll find real-world examples of how this system comes to life—through scheduling, proofing, delivery, brand consistency, and hands-on pre-production guidance. Each one showing how I can make your job easier, while making your team look great.
Group Scheduling
Challenge:
At Avails Medical, a fast-growing medical device startup in Menlo Park, Parisa, the Design Director, faced a high-stakes assignment: coordinate polished headshots for 40 employees and 15 executives during a fast-moving company offsite. With leadership expecting seamless execution and beauty services included as part of the project scope, Parisa needed a solution that could handle complexity without creating chaos.
Problem:
In a day packed with overlapping meetings, presentations, and spontaneous conversations, managing headshots without a defined system quickly became a risk. One missed cue, and the entire shoot could spiral out of control—causing frustration, stress, and a ripple of delays complicating an already packed day.
Solution:
Choosing a system built to eliminate those risks, Parisa partnered with me to implement a three-track scheduling framework: one track for styled executives, one for non-styled executives, and a third for general staff. With two on-site beauty pros supporting the flow and sessions running predictably, every person was photographed on time, no one felt rushed, and the entire shoot wrapped seamlessly. Thanks to Parisa’s foresight, the team stayed focused, leadership stayed impressed, and the event became a model of efficiency—not an exercise in damage control.
Today, the framework we developed powers my group scheduling model for companies who know that "good enough" isn't good enough when reputation is on the line.

Headshot Delivery
Challenge:
At a fast-moving startup, Dave, the Marketing Director, needed professional headshots for a 13-person executive team—without adding to his already overloaded schedule. Leadership was moving fast, and every detail had to support the company’s growing momentum without creating new friction.
Problem:
When headshots were needed—for decks, media kits, or speaking engagements—they weren’t always easy to find. Images went missing, links expired, and every urgent request bounced back to Dave, pulling him away from high-priority initiatives. Without a dependable delivery system, small issues multiplied quickly, creating stress, wasted time, and hidden inefficiencies.
Solution:
Understanding the risk of rework and delay, Dave partnered with me to streamline the delivery process. I designed a client-first system that gave each executive direct-access download links for screen-resolution images—no passwords, no confusion, no bottlenecks. Full-resolution print files were delivered separately to Dave, organized into clearly labeled folders—"Screen Resolution," "Email and LinkedIn," and "High-Resolution Files for Marketing Use"—making it simple for everyone to access exactly what they needed, when they needed it. Instead of chasing files or fielding last-minute emergencies, Dave stayed focused on building the brand—and the leadership team stayed ready for every opportunity.
Today, this streamlined delivery framework helps fast-moving teams avoid the hidden costs of rework and stay focused on what matters most.
This is what it looks like when headshots stop causing headaches.

Proofing Without Friction
Challenge:
After coordinating headshots for 55 people during an offsite, Parisa needed a proofing process that made it easy for executives and staff to select their images—without delays, lost links, or password confusion.
Problem:
Third-party systems were built to solve the photographer's problem, not the client's. Logins, cluttered galleries, and missing links led to frustration, slow approvals, and extra work for Parisa and her team—risking rework and missed deadlines.
Solution:
After seeing these gaps firsthand, I began designing an in-house proofing portal: password-free, cleanly branded, and centered around how real companies work. Built to eliminate friction, speed approvals, and make it easy for everyone—from executives to new hires—to finalize their images without wasting time. Parisa’s leadership in recognizing the need for a better system helped inspire a solution designed to protect every client's time and brand.

Onboarding Headshots
Challenge:
At Jasper Therapeutics, a fast-growing biotech startup, Theresa, the Operations and Administration Manager, needed a way to consistently onboard new hires with polished, brand-aligned headshots—without adding new logistics to her already full workload.
Problem:
Without a formal visual standard in place, headshot styles risked drifting over time. Delivery slowed, consistency wavered, and Theresa found herself chasing details instead of focusing on higher priorities—putting both team branding and internal trust at risk.
Solution:
Before Theresa ever reached out, I had already built a studio and service system designed for this exact need: fast, polished sessions with consistent results. Working closely with Theresa, we established Jasper’s headshot standard—defining their visual identity as they scaled. Now, every new hire is photographed quickly and integrated seamlessly into the company’s brand image, without requiring additional oversight. Thanks to Theresa’s foresight and leadership, headshot onboarding at Jasper isn’t just a task—it’s a strategic asset.

Preproduction
Challenge:
Akrati was referred to me by an associate. She had been tasked with the redevelopment of the Zanbato website and needed headshots of senior executives and team leadership. Their office was in Mountain View, not far from my studio. Akrati needed the shoot done at their office so the tombstones on the conference room wall could serve as the background. (In the fintech world, "tombstones" are commemorative plaques that celebrate major financial transactions or achievements.)
Problem:
The tombstone wall she’d chosen was covered with framed plaques—great for storytelling, but reflective and difficult to photograph. The room itself was dominated by a massive conference table. Based on my experience, that combination could easily complicate everything.
Akrati needed the session to go smoothly and the final images to reflect the professionalism and credibility the brand required.
Solution:
The answer was simple: see the space before anyone stepped in front of the camera.
In five minutes with the office manager, we resolved the core issues. We slid the heavy table to one side and found a clean corner to work from—one that showcased the tombstones and gave us room to shoot with depth and control. I brought in additional lighting to brighten the background and ensure it balanced cleanly with the light on each subject.
The original plan was to photograph 12 people. But once the team saw the results, they asked me to photograph the rest of the staff. What began as a two-hour session became a full-day shoot, filled with trust, momentum, and great images.
A walkthrough doesn’t just solve technical problems—it removes uncertainty. It creates clarity before the clock starts and keeps headshot day from becoming another fire to put out.

Brand-Matched Headshots
Challenge:
At Venrock, a legacy-rich venture capital firm with deep roots in the Rockefeller family, Tessa needed a headshot partner who could deliver images that matched their polished, established brand. She was introducing a new generation of leadership and wanted a visual standard that honored the firm’s credibility while projecting its future.
Problem:
Previous headshots lacked consistency—differing in tone, composition, and style. Without a streamlined system in place, every session risked drifting off-brand. The firm’s reputation demanded visual precision, and busy executives needed a solution that was convenient and efficient.
Solution:
I immersed myself in Venrock’s visual language and built a process around consistency and ease. Every session takes place in my professionally-equipped studio, ensuring uniform lighting and polish while allowing for subtle individuality. As new hires and leaders join the firm, they’re photographed one by one—each image tailored to the brand’s established aesthetic. This ongoing collaboration has created a living library of aligned, high-quality headshots that reinforce Venrock’s trusted identity across every platform.
